About the role

The Senior Administration Officer will provide administrative support to all operations of the School which includes support to the School leadership team at the direction of the National Administration Team Leader. The position reports to the Administration Team Leader located on the Fremantle campus.

Key Responsibilities

  • Provide administrative support, working with the national administration team.
  • Assist in the delivery of running of day-to-day operations including facilities, equipment coordination, general purchasing, and invoicing, contract and staffing processing, maintaining financial records systems, processing payments, purchase orders and invoicing ensuring that budget expenditure is monitored and reported.
  • Support the administrative functions with course/program coordinators within the National School, including managing course completions and graduation, including Board of Examiners, timetabling, documentation, correspondence, presentation and reports, preparation of meeting minutes and liaising with key stakeholders.
  • Assist in the process of reviewing and updating student enrolment and program activities and act as a liaison officer between academic and sessional lecturers within the School and staff in the central administration units for the purposes of addressing issues of concern and providing advice.
  • Provide support by way of on-the-job training, and handovers and advice to other team members on University processes and systems.

Qualifications, skills & experience

  • Completion of a degree or an advanced diploma qualification with relevant experience, or an equivalent combination of relevant experience and/or education/training.
  • Demonstrate solid experience in an administration work environment.
  • High level of computer literacy and advanced knowledge in Microsoft Office suite Word, Excel and Outlook.
  • Ability to act with discretion and sensitivity and to maintain confidentiality.
  • Attention to detail and accuracy with the ability to prioritise tasks and work within tight time frames to achieve successful outcomes.
  • Experienced in collating clear and concise written communications with a high level of accuracy and attention to detail.
  • Exhibit good communication skills with an ability to liaise with internal and external stakeholders to give and receive information for the relevant members of the School’s Leadership Team.
  • Self-motivated and flexible in responding to changing work priorities and capacity to collaborate as part of a team.
